Academic Enrollment & Documentation Coordinator
Overview
We are looking for a detail‑oriented, resourceful, self-motivated professional with an advanced academic background to support students and families through the most documentation‑heavy stages of the educational journey. This role focuses on completing strategically important forms (including strategic areas of the Common Application like the Activities section), managing enrollment steps for admitted students from email setup to medical forms submission, and ensuring that all academic and administrative information is accurate, timely, and aligned with institutional requirements.
- This position is ideal for someone with an academic background who enjoys precision, structure, and student‑facing work — and who can independently manage complex information while maintaining a high level of professionalism in communication with families, schools, and internal teams.
Position Details
- Part‑time
- Monday–Saturday with flexible scheduling
- Start date: Mid‑June
- Type: Remote
- Contract type: Contractor
Preferred
- Experience with the Common App or other application platforms
- Familiarity with U.S. and international school systems
- Interest in long‑term collaboration and growth into higher‑responsibility roles
- Ability to improve or build processes for documentation and workflow
- Russian-language skills
Schedule & Style of Work
Flexible Availability
Flexible schedule with some evening or weekend availability as needed
Multichannel Coordination
Combination of independent administrative work, Zoom communication, and ongoing text-based coordination

Required Qualifications
- Strong academic background
- Exceptional attention to detail and accuracy in written work
- Experience with administrative, academic, or student‑facing roles
- Ability to work independently and manage multiple deadlines
- Excellent written communication and professional email etiquette
- Comfort working with international families and diverse cultural contexts
Key Responsibilities
- Complete and manage strategically important application forms (Common App, UC application, school‑specific portals, summer program applications)
- Support admitted students through enrollment steps, including documentation, forms, and communication with schools
- Maintain accurate academic records, timelines, and checklists for each student
- Coordinate with advisors, mentors, and families to ensure all materials are submitted correctly and on time
- Communicate professionally with schools and programs regarding requirements, deadlines, and follow‑up items
- Track progress across multiple students and maintain organized internal systems
