Executive Assistant & Operations Coordinator
Overview
This role offers a unique opportunity to work directly with the founder and CEO of an international education company and gain firsthand exposure to how a growing business is built and operated.
Successful candidates will be involved in a wide range of activities, including operations, project management, client service, hiring, process improvement, and executive decision-making support.
- This is not a traditional administrative role. While the position includes administrative responsibilities, we are looking for someone who enjoys solving problems, creating structure, improving processes, taking ownership, and building relationships — with teammates and clients.
For the right candidate, this role can serve as a foundation for future growth into operations management, project management, business leadership, or entrepreneurial roles.
Working Style & Availability
This is a remote position, but it is not a freelance or task-based role.
We are looking for someone who can dedicate their professional focus to this position and become an integrated member of our team.
Candidates should have overlap with US East Coast business hours and be comfortable working in a fast-paced environment where priorities occasionally change.
This role is best suited for candidates seeking a primary professional commitment rather than freelance, project-based, or side-gig work.
Position Details
- Remote
- Contractor position
- Approximately 30–35 hours per week
- Primarily Monday–Friday, with occasional Saturday support during busy periods or special projects
- 3-month probation period
- Preferred start date: July 2026
- Up to $2,500/month depending on experience, qualifications, language skills, and availability

Key Responsibilities
Executive Support
- Manage calendars, meetings, scheduling, and appointments
- Coordinate internal and external communications
- Prepare meeting agendas and follow-up notes
- Track action items and ensure timely follow-up
- Help manage priorities, deadlines, and ongoing initiatives
- Assist the CEO with administrative, organizational, and operational tasks
Operations Coordination
- Maintain company trackers, spreadsheets, databases, and operational documentation
- Coordinate information flow across multiple teams and projects
- Support hiring, onboarding, and internal administrative processes
- Monitor deadlines and proactively identify missing information or potential issues
- Help maintain company documentation, checklists, and operational procedures
- Support process improvement initiatives and help create operational structure as the company grows
Administrative & Project Support
- Register students for standardized tests, academic programs, and other educational opportunities
- Complete and review forms, applications, and administrative documentation
- Manage DocuSign workflows and document collection
- Maintain accurate records and ensure information is up to date across company systems
- Organize digital files and maintain document management systems
- Prepare reports, presentations, summaries, and internal documents
- Support event coordination, project logistics, and special initiatives

- Strong written and verbal communication skills in English
- Ability to manage multiple priorities simultaneously
- Ability to work independently and proactively solve problems
- Ability to think ahead, anticipate needs, and identify priorities
- Strong follow-up and execution skills
- Strong Google Workspace skills (Docs, Sheets, Calendar, Drive)
- Confidence working with spreadsheets, databases, forms, and structured information
- Positive attitude, curiosity, and willingness to learn
- Interest in education, business, entrepreneurship, operations, or project management
Preferred Experience
We would particularly value candidates with experience in one or more of the following:
- Executive Assistant or Executive Coordinator roles
- Operations Coordinator or Operations Assistant positions
- Project Coordinator roles
- Startup operations or small business administration
- Program coordination in education, consulting, nonprofit, or professional services organizations
- Customer Success, Account Management, or client-facing operational support
- Recruitment coordination or HR administration
Preferred Locations
We are particularly interested in candidates based in Eastern Europe but open to all locations.
Candidates should feel comfortable working with US East Coast working hours.
